Adding patients, end to end

How to add patients and billing codes in seconds.

01 Submissions

Everything starts on the day's list

Submissions opens on todays date. Any patients you have already added for todays list will automatically appear. Each patient card carries its own status, so a clinician can see at a glance what is still waiting on them before they submit.

To finish - no item numbers selected yet, needs a choice.
Submitted - already sent for billing.
The + in the tab bar is the single entry point to add a new or existing patient to your days billing.

Common item numbers are surfaced as chips on the card, so most patients are one tap from ready.

02 Add billing

Two routes, one sheet

The Blue ‘+’ opens a short sheet rather than a new screen. The bulk route sits first because it is the fastest way to clear a theatre list; adding a single patient is the second option.

Upload billing sheet: photos, scans or PDFs of a whole list.
Bill a patient: upload their sticker, or type it in.

The list stays visible behind the sheet, so the clinician never loses their place in the day.

03 Select hospital

Location before patient details

Hospital location drives the provider number, so it is asked first and answered once. Provider numbers that you have registered with Medbill are shown against each hospital to remove the guesswork.

Search across the hospitals already on the account.
The selection is remembered for next time.
Can't find your hospital? is an escape hatch, not a dead end.

The primary button names the choice, “Continue at Central”, so the confirmation reads as a sentence.

04 Choose input method

Sticker or keyboard

Uploading the patient sticker fills in name, date of birth and Medicare number. Typing it in manually reaches the same form, so nobody is trapped by a bad photo or a missing label.

The chosen hospital stays pinned at the top with a back arrow.
Both routes land on the same form, as stated in the subhead.

The primary action stays disabled until a route is picked, and its label says what is missing.

05 Take the photo

Photograph the sticker in place

The camera opens straight into a guided frame. The clinician lines the patient label up inside the brackets and the shutter does the rest. No cropping, no file picker, no leaving the app.

Edge detection holds the frame steady and warns on glare or blur.
Retake or Use photo: the capture is confirmed before it is read.
Name, date of birth and Medicare number are read off the label.

Photos are never the source of truth. Every read field arrives on the next screen for the clinician to check.

06 Add patient

One form, three required fields

Hospital and date are confirmed at the top of the form rather than buried in it, and a 3/3 counter tells the clinician when they can save instead of making them hunt for the missing field.

Also add to these days: set a ward round patient up for the whole week at once.
Only name, surname and Medicare details are required.
Date can still be changed without leaving the form.

“Everything can be edited later” sits above the save button to take the pressure off getting it perfect first time.

07 Back on the list

Straight back into the flow & ready for you to choose your billing codes

Saving returns the clinician to the same list with the new patient in place, ready for item numbers. The submit button counts up, so the effect of the addition is immediately legible.

Until a billing code is chosen the card stays orange, and To finish does not clear on its own.
Set In-patient or Out-patient on the slider, and Bill today or Exclude, all on the card.
Submit 10 patients: one action closes out the day.

No confirmation screen and no dead end: the workflow ends where it started.
